Fleming Email Accessibility

As a first step to make your office emails as accessible as possible, please follow the Accessible Email tutorial. In addition, there are a few best practices to follow that are specific to the College.

Add Alt Text to the Fleming College Logo in Your Email Signature

Step 1 — Open the Signature Editor

  1. Open Outlook
  2. Select File (top left)
  3. Choose Options
  4. Select Mail
  5. Click Signatures…

Step 2 — Select Your Signature

Choose the signature that contains the Fleming College logo.

Step 3 — Add Alt Text to the Logo

  1. Right‑click the Fleming logo
  2. Select Picture…
  3. Go to the Alt Text tab
  4. Enter: “Fleming College logo.”
  5. Select OK, then OK again to save

Change your default font size

  1. Go to File → Options → Mail
  2. Select Stationery and Fonts…
  3. Under New mail messages, choose your preferred font size
  4. Tip: Use 12 – 14 pt minimum for accessibility. If you use ‘Calibri’, change to 14 pt and for other font-types (e.g. Arial, Verdana, Aptos etc.), use 12 pt.
  5. Select OK to save

Adjust Font Size in Out‑of‑Office Automatic Replies

By default, Outlook uses a ‘Segeo’ font-type with a size of 8 pt. A size of 8 pt is too small for anyone let alone people with a visual disability. Best practice is to use the same font-type you use for your standard emails and if you use ‘Calibri’, change to 14 pt and for other font-types (e.g. Arial, Verdana, Aptos etc.), use 12 pt.

Step 1 — Open Automatic Replies

  1. Go to File
  2. Select Info (should already be by default)
  3. Select Automatic Replies (Out of Office)

Step 2 — Edit Your Out‑of‑Office Message

  1. Select Send automatic replies
  2. In the message editor:
  3. Highlight your text
  4. Use the Font Size dropdown to adjust
  5. Select OK to save
  6. Tip: Use 12 – 14 pt minimum for accessibility.
