Ebase Work Order and Project Intake Requests

Facilities Work Order Request System (Ebase)

The Facilities Services and Support Work Order Request System (Ebase) is used to request routine facility maintenance and general services across Fleming College campuses.


Use this system to request:

  • Routine building maintenance and repairs (e.g., electrical, plumbing, HVAC, power, temperature)

  • General facilities support services such as:

    • Pest control

    • Custodial and cleaning requests

    • Event set-up or support

    • Environmental services (e.g., waste collection)

    • Health & Safety services

    • Access control (e.g., door keys, swipe cards) All access requests must be manager approved

If your request is of an urgent nature, please call us at ext. 4444 for immediate assistance. (Examples of an urgent request would be; flooding, exposed electrical hazard, immediate health and safety concerns)


Do not use this system for the following request types:

The following types of requests are outside the scope of the Ebase system and must be submitted through the Facilities Project Intake Process:

  • Renovations or space reconfigurations

  • Departmental expansions or new construction

  • Capital infrastructure upgrades

  • Strategic or aesthetic improvements (e.g., full painting, reflooring)

  • Projects with institutional or budgetary impact (e.g., related to business continuity, compliance, or growth initiatives)

These requests require broader planning, approvals, and funding considerations and must be submitted by:

  • Fleming College Administrators

  • Support Staff Delegates

  • Approved Third-Party Administrators

Acknowledgement Requirement

All users submitting a Work Order Request through Ebase are required to review and acknowledge the nature of their request before proceeding.

At the beginning of the submission process, you will be prompted with the following statement:

“This system is intended for routine operational and service-based requests only. Requests involving capital improvements, renovations, or space changes must not be submitted through this system and must follow the Facilities Project Intake Process. Inappropriate submissions will result in delay or rejection.”

You must confirm that your request is appropriate for the Work Order System before it can be submitted.
