Regular Part-Time Employees (RPT) Paid Sick Days – Reporting Process

Effective March 15, 2026, Regular Part-Time Employees (RPT) are entitled to two (2) paid sick days each calendar year. The maximum number of sick hours that can be claimed in a day (sick day) is the number of regularly scheduled RPT hours for that day. Any portion of a day taken as sick leave equals one sick day used. There is no banking or accumulation of days. Hours associated with any other assignment (TPT, CPT, PT/Sessional Academic, PL Academic) are not eligible for paid RPT sick days.


Process for Reporting Sick Days

1. Employee:
RPT employees will report sick time using an Exception ReportIf a partial day is taken, the hours worked should be entered and the remaining hours scheduled for that day should be entered using the sick leave code.

2. Manager Approval:
Managers will review and approve Exception Reports through the regular approval process. Approval will confirm the number of hours of sick leave but does not verify paid sick day eligibility.

3. Payroll Review and Confirmation of Eligibility:
Payroll will summarize sick leave reported each pay period and will confirm eligibility for paid sick days with Human Resources.

4. Payment Processing:

    • If paid sick leave is available, Payroll will process the payment accordingly.
    • If no entitlement remains, Payroll will treat the time as unpaid.

5. Tracking:
Human Resources will maintain the central records of paid sick day balances.
