Student Workers

As part of the overall student experience, Fleming College provides paid employment opportunities to its students; funded by the College OR paid for by the associated department.

Definitions:

  • Part-time position: Full-time students can be hired at any time during the calendar year for temporary part-time positions up to 15 hours per week.
  • Full-time position (summer only): During the spring and summer, students can be hired for temporary full-time positions up to 40 hours per week as Appendix G contracts. To be eligible, students must be registered as full-time students and be returning to their program in the fall.

In an effort to support students in obtaining employment experience, managers are encouraged to budget for student workers each fiscal year and not rely solely on the College-funded programs. 

NEW Student Wage Rates: Effective October 1, 2025, minimum wage increased to $17.60 per hour.

The Student Hiring Process: 

Step 1: Review Established Job Description

The Hiring Manager reviews the Established Job Descriptions and identifies the position for which they are hiring.

 Step 2: Submit Request Form

The Hiring Manager completes and submits the On Campus Student Hiring Request FormThe request will be reviewed by the HRTO.   

 If the Position Requires Funding: Before moving on to the next step of posting the vacancy, the hiring request will be reviewed to determine if funding is available. The Hiring Manager will receive a notification from the HRTO stating whether their position qualifies for funding. Based on this information, the Hiring Manager can decide whether it is appropriate to proceed with posting the opportunity. 

 Step 3: Posting the Vacancy 

  1.  The HRTO drafts the job posting and sends it to the Hiring Manager for review  
  2. The HRTO posts the vacancy on Evolve
  3. Students apply online through MyCampus  
  4. When the posting closes, the Hiring Manager will review resumes (in Evolve) and make selections 

 Step 4: Interviews 

 The Hiring Manager will complete the interviews. See Sample Interview Questions

Step 5: Funding Application Form completed by Student (if applicable) 

If Funding Is Required: The Hiring Manager is to request the student(s) complete a Fleming Funding Application Form to determine their eligibility prior to an offer of employment going out to the student. Forms are to be sent to the HRTO for processing.

Step 6: Verbal Offer and Formal Appointment (Offer) Letters 

Once a successful candidate has been selected, the Hiring Manager can verbally offer the position to the student. Using the Communication Guide – Email/Phone/Verbal Template linked here, inform the student of what to expect in the offer and onboarding process. 

The appointment letter should be produced based on the processes outlined below. 

PART-TIME STUDENTS:

FULL-TIME SUMMER STUDENTS (APP G):

NEW: All offers are now sent through DocuSign. Hiring Managers, or their delegate, will send the formal offer to the student.

  1. Before You Begin: Hiring Managers, or their delegate, must create a DocuSign account using their Fleming credentials. This is a one-time setup; after that, you’ll be ready to send letters.  Click here for instructions.
  2. Send the Part-Time Student Appointment (Offer) Letter via DocuSign.  Follow the DocuSign Step-by-Step Guide linked here..

  1.  The Hiring Manager must complete and submit an App G Appointment Letter Request Form – February 2025 
  2. The HRTO will review and draft the offer.   
  3. The hiring manager and the student will review and sign the appointment letter via DocuSign. 

 Step 7: Getting Ready for Your Student’s First Day  

 The Hiring Manager will arrange for account and system access by contacting IT:  Depending on the system access required, students may require an account that is separate from their regular student account. Contact – Information Technology Services 

 New Hire Paperwork: Once the offer is signed, if they have not been hired as a student previously or have had a break in student employment of six months or more, new hire paperwork will be sent automatically via DocuSign and then to HR for processing. 

Step 8: Your Student’s First Few Days 

  • Mandatory Training: Inform the student worker that they must complete mandatory training.  Mandatory Training Listing 
  • Safety Orientation Checklist
